A few years have passed since\u00a0Infoworld declared<\/a> 2004 to be the year of the enterprise wiki.\u00a0\u00a0While still not yet commonplace, wikis<\/a> are becoming an ever more\u00a0popular collaborative tool\u00a0used in\u00a0the workplace.\u00a0<\/p>\n

What are wikis?\u00a0 Unlike static web pages that are\u00a0created\u00a0to be one-way read-only web documents, wikis\u00a0are\u00a0designed to allow users to contribute to the content of the web document.<\/p>\n

Users contribute to the wiki by\u00a0being able to modify the text and relational hyperlinks on the page.\u00a0 Many wiki tools provide built-in visual WYSIWIG editing tools so that users need not understand wikitext syntax.\u00a0 Wikitext syntax is not standardized and varies across the different wiki engines.\u00a0<\/p>\n

Any edits made to the document are captured and recorded as part of the document history.\u00a0 The information captured as part of the history can be very detailed, including the author, a timestamp and a detailed\u00a0description of\u00a0the exact lines of the document text that have been modified.\u00a0 The history can be used as an audit log of all activities associated with the wiki page.<\/p>\n

Using the wiki ‘Revision History’ feature, it is possible to roll back\u00a0a wiki\u00a0page to a previous version.\u00a0 And a diff <\/em>feature allows you to visually compare changes that have been made to the page.<\/p>\n

Wikis are particularly useful in a collaborative environment and\u00a0can be used as a sort of bi-directional portal for tracking projects. Project status and updates, requirements, plans, schedules and reports can all be easily aggregated at a single point for everyone on the team to access.\u00a0 A project wiki can also reduce the need for many project-related emails.\u00a0 The wiki becomes the authorative location to look for finding the most up-to-date information.<\/p>\n

Clearly there is a lot of overlap in what a wiki does and features of a traditional enterprise content management system.\u00a0 What’s the difference?\u00a0 Wikis, in their emphasis of ease of use, tend to be more light weight.\u00a0 The data model also tends to not be as\u00a0robust as that\u00a0of an\u00a0ECM system.\u00a0 Wikis also typically\u00a0lack tools for effectively\u00a0specifying granular security.\u00a0<\/p>\n

When a wiki page is ‘completed’, there may be a desire to archive the document.\u00a0 Capturing a wiki document composed of many hyperlinks for archival is not necessarily straight forward, but some, or part of the document could be captured and archived as a single entity within an ECM system.\u00a0 But once archived, if the document can’t be easily viewed within the wiki framework, it may not be of much use.<\/p>\n

A\u00a0loose level of integration between the\u00a0ECM and wiki\u00a0systems is not totally satisfying.\u00a0\u00a0 Some vendors, like Stellent (to be acquired by Oracle), have tried to more tightly merge the two worlds of ECM and wikis, but, in general, it seems that most vendors have yet to address wiki information in their product strategies.<\/p>\n
