Distributed Capture

By Dick Weisinger

The AIIM ECM Solutions Seminar was held this past week (April 11, 2006) in San Francisco.  There was an overflow crowd of 130+ people.  Following a full day of presentations and demonstrations there was also a brief AIIM chapter meeting of the Golden Gate AIIM chapter led by chapter president Bud Porter-Roth and AIIM Vice President Peggy Winton

This AIIM seminar was sponsored by vendors that included Microsoft, Oracle, Fujitsu, Canon, Kofax and quite a few others.  It was very informative.  The main topics discussed throughout the day focused on Compliance, Records Management and Distributed Capture.

Distributed Capture is the scanning of documents at remote sites, linked to a central processing center via the Internet.  Using this technology, documents can be brought into an Enterprise Content Management or similar system immediately at the point of origin.

The efficiency and speed made possible by using electronic data rather than paper data can often shorten workflow processing by days and save thousands of dollars.  Traditionally, document scanning and capture was done at a centralized corporate location or by an external scan vendor.  Decentralization of the scan solution allows paper to be captured immediately at the point of origin anywhere in the world.

Distributed Capture has been driven by the introduction and affordability of Multi-Function Products (MFPs).  MFPs are single-unit space-saving machines that can perform multiple tasks like scanning, copying, and FAXing.  MFPs can plug into and communicate across your network with enterprise applications.

The benefits of Distributed Capture include:

  – Reduced Operational Costs
     * Accelerates workflows to achieve huge time and cost savings
     * Improves efficiency and reduces labor costs
     * Removes the need for document shipping and courier costs
  – Reduced Risk
       * The document is captured at its origin and securely stored electronically.
Traditional processing of paper might expose documents
to many people, any of whom could potentially alter them.
     * Fits well into Records Management and Compliance Policies
     * Reduces the possibility of lost or missing documents

Formtek is a provider of ECM solutions and Capture is an important part of nearly all our solutions.
