Formtek Auditing Extension for Alfresco: An Overview and Demonstration

Formtek has recently unveiled a series of product demonstrations with their new Auditing Extension for Hyland’s Alfresco Content Services, which are now accessible on YouTube.

The Formtek Auditing Extension for Alfresco offers comprehensive audit summaries for actions executed on documents, folders, and other content types housed in an Alfresco repository. This extension logs the action, the timestamp of the action, the user who initiated the action, and other customizable action details. Each repository item retains its audit data, and any user with access to the item can view its audit log.

System Administrators can use the Audit History tool to conduct detailed searches in the repository for audit records using various search filters. The Audit History tool provides audit data not only for documents and folders but also for other repository content like sites, users, groups, and different data lists. Furthermore, administrators and workflow auditors can utilize the Workflow History tool to search for workflow records and observe workflow activity.

The most recent version of the Formtek Auditing Extension (v2.5) introduces additional features to meet GDPR compliance requirements and extend platform support:

• The Users Search button now supports multi-user searches.
• A new Group Search button can be activated via a global property for group searches.
• The Clear and Stop buttons can now be concealed via a new global property.
• When a document or folder is renamed, Save to File now logs both the item’s previous name and its new name in the csv file.
• Support for Alfresco Content Services 5.2 through 7.x on Windows and Linux platforms
• The upcoming release will include the capability to audit actions performed in Alfresco Digital Workspace (ADW) and Alfresco Content Application (ACA).
