Enterprise Content Management: Reduce, Reuse, Recycle

At Formtek we pride ourselves in the robustness of the enterprise content solutions that we have developed for our customers.  Every one of our deployments meets the Formtek high standards.  We use the mnemonic of high-3S to describe the areas where we excel:  high Security, high Scalability, and high Stability.

Now with the demands of regulatory compliance and the challenges of exponential data growth and associated high costs of storage infrastructure, Steve Jones of Integrated Solutions introduces another mnemonic to describes a best-practice approach towards data management and storage: 3R (Reduce, Reuse, Recycle).

To shrink the storage space needed for infrastructure, some organizations are finding that dramatic space reductions are possible by adopting technology like data deduplication of redundant text and graphic data.  Rather than saving fully rendered documents in PDF and office document formats, these organizations have found that a better strategy is to save data in a more efficient format and then transform the data ‘on-the-fly’ to the final output data format.  For example, storage space can be shrunk by saving only the data that is needed to rebuild on-demand PDF documents for presentation.

Saving raw data and rendering documents on-demand can save tremendous amounts of storage space.  Some companies report being able to shrink their data storage needs by as much as 90% by doing this.

The three R’s for how to improve storage efficiencies are:

Reduce.  Organizations should audit the type of data that they are storing and evaluate whether some sort of deduplication or storage format changes could result in storage savings.

Reuse.  Multiple copies of shared data components can be identified and eliminated to free up space.  A good example of this are email attachments.

Recycle.   The repurposing of data for use in newer generation documents and presentations allows users to generate new content more quickly and also enables the reduction of storage space.
