Enterprise Search: Despite Benefits, Few Organizations Use Enterprise Search

Despite the fact that nearly three quarters of organizations say that enterprise search is vital to their productivity, effectiveness and compliance, only 11 percent are using it, according to an AIIM-sponsored study.

Without enterprise search capability, search is typically available only across intranet content or content that’s stored within an ECM repository.  A major requirement for search, especially in order to comply with legal discovery, is to be able to search across emails, but few organizations have the technology to do that.  The AIIM report found that more than half of organizations characterized their email search in response to discovery inquires to be “ad hoc, manual, disruptive and expensive.”

Doug Miles, Director Market Intelligence at AIIM, said that “search is of pivotal importance for the knowledge worker but there is also a need for strong search functionality for compliance audits, freedom of information enquiries, and legal discovery mandates, all of which require enterprises to uncover all of the relevant electronically stored information.  Our research has shown that many organisations are not properly equipped to manage such requests and this could have serious consequences.”

Enterprise search tools are expected to improve and that may improve uptake of the technology.  Steven Nicolaou, Principal Consultant at Microsoft, commented that “enterprise search products will become increasingly and more deeply integrated with existing platforms, allowing more types of content to be searchable and in more meaningful ways. It will also become increasingly commoditized, making it less of a dark art and more of a platform for discovery and analysis.”
