Records Management: State of the Enterprise RM

Almost three quarters of companies are not adequately managing their company records. That’s the result of a report commissioned by CA, Inc and conducted by ARMA International. Oddly enough, the results come from 1062 of the total 9000 RM professionals that belong to ARMA — a group that you’d expect to have a good grasp on RM.

  • 75 percent do not have a system in place for managing their electronic and paper documents and records.
  • 62 percent do not have an email archiving system
  • 72 percent feel unprepared around what needs to be done for email management
  • 68 percent feel unprepared around what needs to be done for eDiscovery

Two Thirds of the respondents have a data retention policy in place. And half of those with retention policies use the same policy for both electronic and paper records

The group was asked by ARMA to rank the sources of company information that were most important for data management within their organization. The ranking was as follows:

1. email and email archives;
2. both physical and electronic storage;
3. accounting systems;
4. document management systems (DMS);
5. voicemail;
6. mobile devices;
7. enterprise content management systems (ECM);
8. instant message;
9. collaborative systems; and
10. contact management systems, as well as other content silos.
