Collaboration Tool Governance: Challenges Grow as Apps Proliferate
During the two-year peak period of the COVID pandemic, businesses’ use of collaboration tools jumped as remote access became the new normal. But this new work style also introduced new complications to how businesses manage their information security and governance.
Workers are increasingly using non-email alternative communication tools to share business-critical data. 68 percent of workers say that they have done so, according to a survey by Veritas. Instant message tools present a two-sided dilemma — the survey found that about half of people delete their IM messages while another half of people make copies of them. Keeping track of those discussions for governance purposes though is often not on the company’s radar. And with the number of types of collaboration apps to manage things like chat, messaging, workflow, conferencing, meeting recordings, transcripts, engagement, and sharing, governance becomes more challenging.
From a governance perspective, some of the emerging challenges include:
- Applying governance controls to a wide spectrum of diverse collaboration applications.
- Ensuring that governance policy enforcement is consistent across applications.
- Tracking the licensing and possible redundancy of applications.
Christopher Trueman, principal research analyst at Gartner, told CIODive that “as these applications become more interwoven and interoperable, there’s going to be, at the very least, the need for some kind of cross-functional team to help ensure that governance and administration are done in concert with other parts of the business.”
