Shadow IT and Cloud Computing: Users Take Risks for Better Productivity

Shadow IT is the introduction and use of non-approved IT systems inside organizations.  It is a grass-roots effort by employees to use tools and applications that they think can help them get their jobs done more quickly or more efficiently than the sanctioned enterprise IT applications used within their organization.  The increasing availability of low-cost SaaS and cloud-based applications and services has only accelerated the problem of Shadow IT.  Forrester Research noted that many people in organizations use Shadow IT tools ” because it is quick and easy and meets their needs at a point in time.”

Sian John, security strategist at Symantec, said that “Shadow IT carries risk…  Workers are driving innovation in the name of productivity and quality of life, and are bypassing the IT departments in order to find the technology that allows them to do this.”

A study by McAfee found that 80 percent of employees use a non-approved SaaS application for their job.  35 percent of all SaaS applications in organizations have been purchased and used without oversight from IT.

A report by Netscope found that IT departments underestimate by nearly a factor of 10 the actual number of cloud apps that are used by their organization.  As technology entrepreneur Billy Marshall said, “the CIO is the last to know.”

Nigel Beighton, VP of technology and products at Rackspace, said that “the world of the data center is radically changing.  The number one question I’m asked at any event, by people who run substantial IT departments, is about how they can provide a competitive service and not be by passed by shadow IT…  But most companies want to keep IT internally controlled, for governance reasons… “
