The Integration Iceberg: What You Don’t See Can Sink You
When integrating an Enterprise Content Management (ECM) platform with other applications, the part you see, like the API connections, the data transfers, and the dashboards, often looks clean and straightforward. But, just like an iceberg, most of the complexity sits below the surface, hidden in layers that can make or break the entire project.
Underneath every API call are details that matter deeply: how metadata maps between systems, how user identities are federated, how errors are handled, and how content versions are tracked over time. Governance policies, compliance rules, and lifecycle management add yet another layer. These are not technical afterthoughts. They are the structure that keeps the visible part of the integration afloat.
One enterprise learned this the hard way during an ECM–ERP project that appeared flawless on paper. Files moved smoothly between systems, but the integration soon stumbled. The two sides defined “project phase” differently, one used calendar milestones, the other status codes tied to accounting periods. Reports became inconsistent, compliance checks failed, and users gradually stopped trusting the shared data. The technical link had worked, but the semantic alignment had not. In the end, the integration wasn’t rebuilt around new APIs; it was rebuilt around shared understanding.
Integration planning must therefore go beyond data transport. It should include how business logic fits together, how roles and permissions align, and how each system handles the lifecycle of the content it owns. Without that planning, adding more endpoints fixes nothing. It’s like patching leaks on a ship without checking whether the hull is still sound.
The challenge is simple to state but hard to practice: are we integrating systems, or just duct-taping endpoints? True integration happens when meaning, not just connectivity, flows smoothly beneath the surface, keeping the whole structure steady above the waterline.
