What Is IDP, Really?

Intelligent Document Processing, or IDP, is becoming a buzzword in business circles, but it often gets confused with earlier tools. At its core, IDP is a way to automatically understand and organize the content locked inside documents, whether those documents are scanned invoices, PDFs, contracts, or emails. Unlike Optical Character Recognition (OCR), which simply converts images into text, IDP goes further by recognizing structure, extracting meaning, and placing the information into the right context. OCR might tell you the letters on a page, but IDP tells you what those letters mean to the task at hand.

It’s also different from Robotic Process Automation (RPA). RPA is about automating repetitive tasks such as moving files or filling in system fields, but it does not interpret new and unstructured content well. IDP, on the other hand, is designed to make sense of those complex, variable documents that bog down workflows. Traditional document management systems, meanwhile, are focused on storing and retrieving documents. They are useful for bringing order, but they don’t usually have the ability to understand what a document says or to act on its content without additional tools layered on top.

Real-world applications of IDP are already wide-ranging. Banks use it to extract payment details from loan documents without the manual re-keying that slows processing. Insurance companies handle claims faster by automatically capturing details from forms and correspondence. Healthcare organizations can rapidly process patient records and referrals that might otherwise require hours of staff time. Even everyday functions like accounts payable, where invoices come in many formats, benefit from IDP by reducing delays and errors.

Why does this matter now? The volume and variety of documents flowing through businesses has never been greater. Manual processing is both costly and error-prone, and customers increasingly expect speed. IDP addresses these challenges by combining data capture with understanding, improving both efficiency and accuracy. As more organizations rethink their digital strategies, IDP is stepping out of the shadow of earlier tools to become a practical necessity for modern document-heavy processes.
