ECM: Integrated Content Archiving
Companies in the Enterprise Content Management (ECM) space have seen serious consolidation over the last couple of years. The goal of these corporate consolidations are often to fill out and merge products across all functional components of the ECM space. But even within narrow categories of what may seem like already focused products, consolidation is occurring.
Taking archiving. Products for storing content like email, images, reports, files, ERP data, and database records have been around for a long time. But depending on the kind of content being archived, vendors have created very specialized products that are individually tuned to the particular nuances of the content being stored. But eDiscovery and Records Management initiatives are now requiring the ability to search over the complete set of enterprise content and to also be able to consistently apply retention rules across all data. These kinds of global enterprise requirements are creating a need for products that consolidate the view over all types of archived data.
Gartner calls these master archive systems Integrated Content Archiving (ICA). Often they’re built by integrating many existing systems that individually focus on data management for a single content type. ICA systems provide a single user interface that lets users search across all types of stored content and return a data set that spans across all content types. Such systems are particularly well suited for retention and eDiscovery solutions.
Gartner cites five reasons to consider the ICA approach:
- Reducing the number of archival systems that need to be managed and maintained saves money.
- Reduces the amount of hardware required to support the infrastructure
- Allows storage media to be better managed
- Provides a framework for addressing Retention and eDiscovery requirements
- Allows companies to create company-wide governance policy for data archival
ICA is another example where advances in storage technology are really changing the dynamics of operations in the enterprise.
